Privacy Policy
Qual Kit is a product operated by Beagle Ridge LLC ("Beagle Ridge," "we," "us," or "our"). This Privacy Policy explains how we collect, use, and share information when you use Qual Kit (the "Service"), including our website at qualkit.dev.
Related terms of use are in our Terms of Service.
1. Who this policy covers
- People who create Qual Kit accounts or join an Organization.
- Visitors to our public website (home, pricing, legal pages).
- Organization administrators who manage seats, billing, and members.
2. Information we collect
Depending on how you use Qual Kit, we may collect:
- Account information — name, email, password (hashed), and profile settings.
- Organization information — Organization name, memberships, invites, roles, seat counts, and billing-related settings.
- Workspace content — projects, tools, qualifications, methods, activities, evidence (including uploaded files and links), anomalies, change logs, baselines, export branding, and related documentation you enter.
- Payment information — subscriptions and pack add-ons are processed by Stripe. We do not store full card numbers on Qual Kit servers. We may store Stripe customer/subscription identifiers and high-level billing status.
- Transactional email metadata — invites, password resets, and renewal reminders sent through our email provider (for example Resend).
- Usage and technical data — logs, device/browser data, IP address, and similar diagnostics needed to operate and secure the Service.
3. How we use information
We use information to:
- Provide, operate, and improve Qual Kit (workspace features, exports, billing, support).
- Send transactional communications you requested or that are required to run the account (invites, auth, renewal reminders).
- Protect against abuse, fraud, and security incidents.
- Comply with law and respond to lawful requests.
We do not sell personal information. We do not use Customer Content to train generalized public models.
4. How we share information
We share information only as needed to run the Service, including with:
- Service providers / subprocessors in categories such as hosting, email delivery, and payment processing, under contracts that limit use to providing services to us.
- Organization members — people you invite can access workspace data according to their roles and project access.
- Legal and safety — when required by law or to protect rights, users, or the public.
- Business transfers — in connection with a merger, acquisition, or asset sale, subject to appropriate protections.
5. Retention
We retain information for as long as needed to provide the Service, meet legal/accounting obligations, resolve disputes, and enforce agreements. When an Organization's subscription expires or terminates, or the Organization closes, we retain Customer Content for ninety (90) days so Organization administrators can export and retrieve it, then delete or anonymize that Customer Content, except records we must keep longer for law, accounting, pending disputes, chargebacks, or security incidents. Deletion does not reach copies you exported. Residual backups may persist until rotation.
Active Organization administrators may export workspace data (including JSON) and qualification exports from the product where those features are available.
6. Security
We use reasonable administrative, technical, and organizational measures to protect personal data. No method of transmission or storage is 100% secure. If we become aware of a security incident affecting personal data we hold that requires notice, we will notify affected Organization administrators without undue delay where feasible.
Your Organization controls who can access Customer Content. Administrators are responsible for inviting appropriate members and removing access when people leave.
7. Your choices
- Update profile and Organization settings in the app where available.
- Organization administrators manage members, invites, and billing.
- Contact your Organization administrator for access or deletion requests that require tenant-side action. Beagle Ridge will provide reasonable assistance with legally required data-subject requests relating to personal data we process for an Organization.
8. Cookies and similar technologies
The Service uses cookies and similar technologies necessary for authentication, security, and basic operation. We do not currently run third-party advertising analytics on the public site. If we add optional analytics later, we will update this Policy and disclose that use.
9. Children
Qual Kit is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
10. Changes
We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the effective date. For material changes that affect Organization accounts, we will provide advance notice to Organization administrators where reasonably practicable.
